Objective: Establish a standard procedure to safely and efficiently receive, verify, store, and document donated reagents and materials.
1. Donation Request
Any individual or legal entity interested in donating chemical reagents and/or glass or plastic materials must contact the Chemistry Laboratories and Storage Supervisor to begin the process.

The donor must provide a detailed list of the materials they wish to donate, including the following:
- For reagents:
- Chemical name
- Quantity
- Expiration date
- Storage conditions
- Container condition (sealed, unopened, with readable label)
- For glass/plastic materials:
- Type of material (e.g., beaker, burette, flask, pipette, etc.)
- Quantity
- Condition of the material (new, used in good condition)
- Remarks about previous use (if applicable)
2. Preliminary Evaluation
The Laboratories and Storage Supervisor will review the request and assess the relevance of accepting the donation based on the following criteria:
- Safety and condition of the reagents (labeling, expiration date, container integrity)
- Condition and usability of glass and/or plastic materials (physical condition, cleanliness, integrity)
- Compliance with current safety, occupational health, and environmental regulations
3. Donation Acceptance
If the donation is approved, the donor will be notified, and a date, time, and location will be coordinated for the delivery of the materials.
4. Reception and Verification
During delivery, the person responsible for the corresponding storage area must be present to perform the following:
- Verify that the delivered materials match the previously submitted list
- Conduct a visual inspection:
- Reagents: condition of containers, legible labels, expiration dates
- Glass/plastic materials: ensure they have no cracks, deep scratches, stains, residues, or other damage
- Record:
- Date of receipt
- Quantity and description of accepted materials
- Name and signature of the storage supervisor
Expired, damaged reagents or those with compromised containers will be rejected, as well as glass/plastic materials in poor condition or posing a risk for laboratory use.
5. Storage
Accepted materials will be integrated into the inventory following institutional safety standards:
- Reagents will be labeled with:
- Name
- Date of receipt
- Expiration date (if applicable)
- Storage conditions
- They will be stored according to their classification (chemical compatibility, temperature, ventilation, etc.)
- Glass or plastic materials will be stored by type and size, and labeled if necessary for traceability
6. Report to the Donor
Once the reception process is completed, the donor will receive a report containing:
- Final list of accepted reagents and/or materials
- Actions taken (storage, registration, disposition)
- Institutional acknowledgment for their contribution to strengthening FCQI laboratories
